The following terms and conditions are designed to ensure that both parties to the contract, clearly understand their contractual and legal obligations. They are for the avoidance of doubt and should be read before signing the contract
Confirmation by the client
All bookings remain provisional until confirmed by a signed contract.
Amendments – The final numbers for an event will be confirmed to the venue no later than 7 working days prior to the date. If the number of guests attending falls below the guaranteed minimum number, the venue reserves the right to move the event to an alternative room and the guaranteed minimum number will be charged for.
Deposits - A deposit will be required as follows: 80% of the estimated function spend, based on a minimum guaranteed number (determined by the venue).
Cancellation by the Client – Please note that in the event of cancellation received (in writing), the following charges in relation to loss of revenue will apply:
Within 6 months notice No Charge
3 to 6 month’s notice 25% of the total charge
2 to 3 month’s notice 50% of the total charge
1 to 2 month’s notice 80% of the total charge
Less than 1 month’s notice 100% of the total charge
Cancellation by the Company - The company may cancel the booking at any time:
a) If the booking might in the opinion of the company prejudice the reputation of the company and/or Stadium.
b) If the client is more than 30 days in arrear of previous payments to the company.
c) If the company becomes aware of any alteration in the clients current financial situation.
Payment -
Full settlement of the deposit is required by the date specified in the confirmation letter.
The Final Balance payment is required 30 days after the event date.
Payment shall be made by cash, cheque, BACS or credit card as accepted by the Company.
Prices - All prices quoted include VAT. The company reserves the right to pass on to the customer, price increases caused by the rate changes imposed by the government.
Football Fixtures - The date of the function has been offered in good faith. In the event of the first team fixture being rearranged for the date in question, we may not be able to
service your booking. In this eventuality, an alternative date will be offered
Corkage - No wines, spirits or food of any kind may be brought on to the premises, unless the prior consent of the company has been obtained and for which a charge will be made.
Signs – No signs must be affixed to the walls, woodwork or memorabilia and sellotape and blutack must not be used under any circumstances. All posters and signs relating to the event must be affixed so as not to cause any damage when removed.
Outside Services - Prior consent of the company must be sought for any entertainment or services including sub contractors contracted for the event by the client. The Company does not accept any liability for any resultant cost of such services however so caused.
Fire Alarms
The stadium is fitted with a sensitive alarm system. No equipment such as naked flames, smoke machine or pyrotechniques is to be brought on to site that may set the system off.
Electrical Items - All electrical items brought onto the premises MUST have been electrically tested for safety. No alteration, addition or variation shall be made by the client to the lighting or other electrical installation, fixtures or other fittings of the stadium without prior consent of the Facilities Manager. If the client wishes to increase the provision of amps above 25 the club electrician MUST be consulted prior to the agreed event date.
Liability - The company does not accept liability for any failure to provide or delay in providing the services contracted as a result of circumstances beyond its control.
Property - The company can accept no responsibility for property of clients. Any goods deposited with employees or representatives of the company are at the owners risk and without obligation on the part of the company.
Please be aware that West Bromwich Albion Football Club Ltd does not take responsibility in any way, shape or form for loss or damage to goods or property belonging to the client whilst situated at the Hawthorns.
Damage, loss or theft - The client shall be responsible for any damage, loss or theft caused to the premises by the willful act or default of the client and/or their guests, and shall pay to the company on demand, the amount required to make good any such act.
